Academic Health Center Reporting Tool (ART):

As previously mentioned, ART will be converted and used within the AHC. The plan is that some time in the fall of 2008 all current AHC users of ART will be up and running but it is recommended that units and clusters within the AHC plan accordingly. The AHC and Medical School have already formed EFS-specific reporting committees, one of the goals of which will be to determine how EFS can fill this gap for sponsored project reporting while ART is unavailable.

The EFS reporting team has opened up the reporting instance and available data tables for review by data analysts – including data analysis in the AHC.

ART will undergo significant modification to accommodate the new COA chartfields and to tap into the PeopleSoft tables where the data will be housed. ART currently downloads all data directly from the Data Warehouse. Since the DW will no longer store new financial data going forward, the current plan is for the AHC to have its own reporting instance. This reporting instance would only include AHC data, and so all current ART users who pull both AHC and non-AHC data will only be able to access the AHC data. Until a work-around is developed, ART functionality for current users could be limited for a period of time.

The scope of the ART conversion task is not completely known because of the questions about the data and the functionality of the PeopleSoft Grants/Projects/Contracts modules has not yet been compared to ART.  The ART tool should be modified to complement, but not duplicate PeopleSoft so for now, functionality matters are likely to be tabled until the AHC knows more about what PeopleSoft can do.

How to train?

Currently there are no plans for additional People-Soft-specific ART training since it is anticipated that from a user perspective, there will be no significant changes other than the new chartfields.
