Communications Strategy for EFS and Sponsored Projects Announced

Colleagues,

To assist with enhancing communication about forthcoming EFS-related changes in policy, procedure and practice on sponsored projects, Sponsored Projects Administration, Sponsored Financial Reporting, and the Office of the Vice President for Research are implementing a new web site and a series of targeted communications to campus research administrators. Some of this information may be of interest to Principal Investigators as well.  

The web site, entitled "EFS-SP" for “Enterprise Financial System - Sponsored Projects”, will include information related specifically to the modules and processes of the new system related to sponsored projects, including:

  • News from the Front (a list of recent updates to the site)
  • Cutover dates and transaction processing procedures during the transition
  • Key changes in sponsored project policies and procedures related to EFS
  • EFS Training information
  • EFS Reporting information
  • New and updated sponsored projects forms
  • Conversion strategy (how is data being converted from CUFS, JDE and EGMSi to EFS)
  • Departmental best practices
  • Forum related to EFS and Sponsored Projects
  • FAQs

We expect this Web site to be released within the next few days, with updates and new postings coming very frequently thereafter.  We will be announcing both the release of the Web site and updates to it on the various GMUN listservs and the CA listserv, as well as internally within SFR, SPA, and the OVPR, and in Research News On-Line. Selected important communications of broad interest to the research administration community will carry a special designation of “EFS-SP Notice #” (e.g., “EFS-SP Notice #101:  EFS-SP Web Site Launched  (4/25/08).”   These notices will all be posted in a single location on the web site after they are sent out to the various listservs so that you will be able to quickly locate and retrieve this key information, or direct others to the information. If information needs to be updated, these changes will also be clearly marked and the most current version easily located.  

The Web site will also contain a sponsored projects EFS forum (blog) so that information and questions can be rapidly and efficiently shared among us.  

At the May GMUN meeting, we will be walking through the new web site and the information posted at that time to help familiarize everyone with what is available, as well as showing everyone how to use the forum.   The SPA, SFR, and EFS Project Web sites will all contain links to the EFS-SP Web site at the time of release.   This Web site is being coordinated with the EFS Project team and Communications staff, and we are planning for the Project Web site and this Web site to be symbiotic.  

We hope this will be a very key resource as we move toward “Go-Live” (and thereafter!), and we look forward to sharing it with you very soon.
