EFS Reporting Summary

How is financial system reporting changing?

The tools to access and compile data will be substantially different after EFS is implemented in July 2008. 

Current Enterprise Financial Reporting Tools:

  • Financial Reports on the Web will no longer exist after implementation.
  • UM Reports will be still used for HRMS and Student data.  UM Reports will not be populated with any FY2009 financial data, but will maintain all historical financial data.
  • The Data Warehouse will not be populated with any FY2009 financial data, but will maintain all historical financial data.  The DW will continue to be used for HRMS and student data. 

New Enterprise Financial Reporting Tools:

Several types of robust and flexible reporting tools will be available within the new financial system. 

  • PeopleSoft Delivered & Customized Reports: All end users will have access to the PeopleSoft delivered and customized reports. 
  • PeopleSoft Query Viewer & Query Manager:  All end users will have the ability to view, create, and save queries using the Query Tool. 
  • nVision: One new type of reporting tool is PeopleSoft nVision. This is a robust reporting tool that delivers Excel formatted reports that have a multi-level, multi-faceted drill down capability

Each tool is described in more detail at the EFS website and a reporting demo may be viewed as well. 

Reporting Access: Any user who has access to the production environment of EFS (where you prepare and approve transactions), will also have access to the reporting environment.  In addition, for those individuals who do not need or have access to the production environment, stand-alone access to the reporting environment may be requested via an Access Request Form. 

Reports Crosswalk: A detailed crosswalk of the most commonly used UM Reports and Financial Reports on the Web is available both on the EFS website and at http://www.ospa.umn.edu/efs_sp.htm   Available on this web site is the Sponsored - Financial Reports on the Web /PeopleSoft Reports Crosswalk (http://www.ospa.umn.edu/efs_sp/crosswalk). Where a replacement query or report was not delivered or created by the EFS Project, the data does exist in the financial system but a customized query will need to be written.

The EFS project did not attempt to “speculate or guess” at what new reports/queries would be desired by users.  Following a 3-6 month period for users to learn what data elements are available, additional reporting requirements will be gathered on reports/queries.

Sponsored Project Data:   There will be a larger volume and array of data available to all users.  This is especially true in terms of sponsored project data.  All users will have view-only access to the Grants/Projects modules in the reporting instance. For all sponsored project data that is entered by SPA and SFR, end users will be able to run reports and queries in the reporting instance, resulting in near-real time data (24 hour refresh cycle) . Today, this data is entered into EGMSi and JDEdwards and is not readily available for outside users to access. 

The Project Resource table in the Projects module contains the level of detail on sponsored projects that will be desired for academic departments to query or report upon.

The volume of general ledger data will also be enormous and there will be many ways of accessing the data to meet one’s needs.  Although there will be a huge amount of detailed data in the new system and user-friendly tools to access it, the majority of the actual writing of queries will be at the local college and departments.  Steps should already have been taken, through the Org Design Process, to ensure each Cluster has staff with query and analysis skill levels based on their specific needs – the Enterprise Analyst.  

  • If a query is developed at a local level that would be beneficial to the entire enterprise, a process will be in place to evaluate the query to ensure there are no technical issues and then it will be made available to all users.                                                                                                
Budget Period Reports: EFS did not recreate the same Budget Period Expense Summary Report that we had in the past.  The functions of budget period reporting will be available through several reports.1. These are DESIGNS and the actual page and/or report in the user environments may have minor changes after testing.

Training:  In July, there will be an online tutorial called “Introduction to Financial Reports”.  There is also a query class under development so that all end users will have the necessary skills and knowledge to write effective queries in EFS. This class is scheduled to be available in September.
